The Assistant to the Management will provide comprehensive administrative support to the executive team, ensuring efficient operation and effective communication within the company. The ideal candidate will be highly organized, proactive, and capable of handling multiple tasks with professionalism and discretion.

Your Responsibilities:

Administrative Support

  • Manage executive schedules, including appointments, meetings, and travel arrangements.
  • Prepare and organize meeting materials, agendas, and minutes.
  • Handle correspondence, emails, and phone calls on behalf of the management team.

Documentation and Information Management

  • Create, maintain, and update documentation, reports, and presentations.
  • Ensure confidentiality and proper handling of sensitive information.
  • Organize and manage the filing system for easy retrieval of documents.

Communication and Liaison

  • Serve as a point of contact between the management team and internal/external stakeholders.
  • Facilitate effective communication and collaboration across departments.
  • Handle inquiries and requests from employees, clients, and partners professionally.

Project Coordination

  • Assist in the planning and execution of company projects.
  • Coordinate with various departments to ensure timely completion of tasks.
  • Track project progress and provide regular updates to management.

Office Management

  • Oversee office supplies and inventory management.
  • Ensure the office environment is well-organized and conducive to productivity.
  • Coordinate office events, meetings, Christmas and team-building activities.

Special Projects

  • Undertake special assignments and projects as directed by the management team.
  • Conduct research and provide analysis to support decision-making processes.
  • Identify opportunities for process improvements and contribute to their implementation.

Your Background:

Education

  • Business Administration, Management, or a related field.

Experience

  • Minimum of 1-2 years of experience in an administrative or executive assistant role.
  • Previous experience in supporting senior management or executives is preferred.

Skills and Competencies

  • Strong organizational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Detail-oriented and capable of managing multiple priorities.
  • Strong problem-solving skills and ability to work independently.
  • Professional attitude and appearance.

Preferred background
